JAN. 26, 2010 MINUTES
PRESENT: John Leung, May Gee, Dwayne Rourke, Grace Doherty, Imogene Lim, Ray Iwaasa, Tats Aoki, David Durrant, Susan Grandfield, Carol Snaden, Florence Bell, Lil Tosoff, Joyce Lowe, Wendy Fried (Cumberland Museum- Research and Collections).
Chair Grace Doherty called the meeting to order at 10:00 a.m.
AGENDA
MOTION TO APPROVE WITH THE FOLLOWING AMENDMENT: Under New Business add b. Support letter request. Dwayne, Ray. Carried.
MINUTES OF THE DEC. 29/09 MEETING
MOTION TO ADOPT AS AMENDED: Add David Durrant to those present (note David not Dave). Dwayne, May. Carried.
UNFINISHED BUSINESS
A. DRAFT LETTER TO COUNCIL (PROCEEDING WITH PICNIC SHELTER)
Draft 4 was given to the group. Discussion. The money for the picnic shelter will not include funds for the #1 town bridge and Torii gate. David: Should the group become a society (some advantage for grants)? OAP bench may not need a separate cement pad if it is in the picnic shelter.
MOTION: Forward the letter on to Anya and Council. Imogene, John. Carried.
B. DATE FOR THE BRONZE PLAQUE INSTALLATION/REVISED WORDING
Ok with Manabu if our group sets the date for the plaque unveiling. Early May is possible. Ray: 60 days notice for allowing out of town groups to travel to Cumberland. David: Allow time to invite the politicians and dignitaries. Grace: Possibly May 8, 2010 or the following weekend.
MOTION: Schedule the bronze plaque ceremony for May 8, 2010 and Grace will contact the major participants. Tats, Flo. Carried
C. LUNAR NEW YEAR
May will help hang lanterns, posters, decorations on Feb. 13, 2010 at 9 a.m. Other volunteers welcome.
D. STORYBOARD WORKING GROUP REPORT
Heritage Day is Feb. 20/10. The storyboard group met Jan. 5/10 at Dwayne’s house. They discussed the storyboard standards, content, size etc. Storyboards needed a.s.a.p. Ray went on a cruise ship to Hawaii for a family trip, viewed Japanese Gardens (a balance between a nature park and a historic park). Imogene: info should be documented for archives; will all families be represented equally? Look at the standards and bigger vision for the park. May: A storyboard could go near the cherry trees. More discussion needed at next meeting.
E. HONOURING RON BANNERMAN – SUGGESTION TO DEDICATE A TREE
Discussion on where to plant the tree and variety types. Carol: We could dedicate a tree for Ron and also replace the Hawthorne tree dedicated for May’s grandparents (tree donated by May and stolen out of the park). May’s grandparent’s had one in their garden. Jo: Members can donate $ for trees and the nursery that planted the #1 tree could plant the trees.
MOTION: Collection to be taken for 2 trees, one for Ron Bannerman and one to replace the Lowe family Hawthorne that May donated. Lil, Joyce. Carried
May: $160 in donations for two trees was collected at the table from the park committee members.
F. 2010 BUDGET SUBMISSION
Grace gave the group a list of the items for the budget. Discussion.
MOTION: The Advisory Committee requires an itemized reconciliation statement of donations for #1 and Chinatown with all of the relevant details including the name of the donor and date of the donation. Ray, Dwayne. Carried.
Grace: We have a detailed list up to 2007.
NEW BUSINESS
A. CLEARING/PRUNING TREES OF NO CULTURAL SIGNIFICANCE ON NO. 1 TOWN SITE – TATS
Tats read the plaque wording and reported on the meeting with David Durrant which was a very productive meeting. Tats: The word “Jap” is a derogative word and should not be used. People should be careful of what we say without thinking. The Alder, Cottonwood and Evergreen trees could be removed and chipped for trails. Carol: There needs to be a balance between having a natural park vs. removing trees. We should look at the big picture of what we are trying to achieve in the park before any cutting takes place, would not want trees to be randomly cut in the future. Grace: New Village tree cutting policy. Tats could recommend trees for removal.
B. SUPPORT LETTER REQUEST
Grace: This is for a Community Dev. Trust application. David: Zanzibar Holdings will prepare grant application. Perseverance Creek trail and bridge repair, work would be done by unemployed forestry workers. Forest Society supports the project. David: The project would go from August to Oct.
Discussion – whether we will allow parking in the park for events etc. Jo: How do we accommodate people for longer events in the Village?
