PRESENT: John Leung, Joyce Lowe, Dwayne Rourke, May Gee, Lil Tosoff, Grace Doherty, Ray Iwaasa, Florence Bell, Imogene Lim, Carol Snaden.
Chair Grace Doherty called the meeting to order at 10:05 a.m.

MINUTES
MOTION TO ADOPT WITH THE FOLLOWING AMENDMENT: Strike the word “more” from more storyboards. (Ray’s comment). Dwayne, Imogene. Carried.
UNFINISHED BUSINESS
A. MEETING WITH DAVE DURRANT DEC. 3/09. UPDATE ON PICNIC SHELTER.
Discussed the draft letter to council re. proceeding with the Chinatown Picnic Shelter, update from John. Imogene recommended changes to the draft. Grace read the revised draft and she will email it to the group. Dave will get a final copy and put together his recommendations for council (pass it on to Anya for council).
MOTION: A clean copy of draft #3 should be sent to the group before sending it to Dave. Motion by Ray, Imogene. Carried.
B. DATE FOR BRONZE PLAQUE INSTALLATION
Ray- 60 days advance warning to guests of the installation date. Table until next meeting.
C. INFORMAL REQUEST RE: LUNAR NEW YEAR INVOLVEMENT – GRACE
Dave- simple involvement possible such as unveiling the picnic shelter plans.
D. MEMORIES OF CUMBERLAND #1 TOWN BOOKLET (Manabu Doi)
Lots of material and historical photos, a commitment to do something. Ray and his family feel very strongly about the importance of storyboards. Memories fade. Storyboards should be a separate and focused effort. Imogene- a student project may be possible. Ray’s family will get together to do their family history. Flo- oral histories are important. Imogene- major themes. Nakano family had a store on the lower road. More info needed. Imogene- a letter to the editor of the Nikkei Voice could request info. A smaller working group can get together to look at the history.
E. DISCUSSION ON THE MOTION RE: THE PICNIC SHELTER NAME (LAST MEETING MOTION).
The name “China Creek Pavilion” is confusing. Discussion. China Creek Pavilion is on the stamped drawings. Grace will clarify the legalities of calling it the Chinatown Picnic Shelter.
MOTION: The name should be the Chinatown Picnic Shelter. Flo, John. Carried
NEW BUSINESS
A. HONOURING RON BANNERMAN
Suggestion to plant a tree in Chinatown in his memory. Flo contacted Cindy Bannerman. Dave- 3 trees have been planted in the last few weeks (donated by a nursery for the No. 6 Mine Park). Table until next meeting.
B. GOALS AND OBJECTIVES – PRIORITIES REQUEST FROM DAVE DURRANT
Grace we are one of three advisory committees. Dave would like a project identified, built and maintained, put $ in a reserve fund to replace in 20 years. Imogene – 1 storyboard for Chinatown and 1 for #1. Do an overview of each place and each year add to it. Craft storyboards later. Grace- John Watson may be able to assist with the sign costs. Imogene- graffiti proof storyboards. Grace- e.g. Forest Society signs. Picnic shelter, 2 storyboards, debris removal, mowing of the paths in #1 (possibly students), signage, public works time for sign installation, 3 bear resistant garbage cans, picnic benches/tables (3). Dave- A letter is needed to id things that are wanted. Donation of the items is possible. Large rocks can be placed to deter vehicles off of the coal hills. Ray spoke about the value of the wetlands and the nature park.
C. VANDALISM – DAVE Discussion of some of the vandalism in the Village.
D. NIKKEI VOICE ARTICLE, CARD FROM MR. MANABU DOI
E. MEETING SCHEDULE 2010 Change to Tuesday mornings, check for available room.
F. JAPANESE CONSULATE CALENDAR Donate the calendar to the museum.
G. DONATION PROCEDURES Dave has asked for a statement. Grace- Donations sb. Earmarked. Receipts?
H. STORYBOARDS FOR HERITAGE FAIR
Lil –storyboards needed for fair. Flo-The Heritage Commission storyboards are in the CRI and these can be used or the info can be changed.
